How DigiKai OS collects, uses, shares, secures, and retains account, workspace, prospect, outreach, billing, AI, and usage data.

Overview
This Privacy Policy explains how DigiKai OS handles information when agencies use the platform for prospecting, CRM, outreach, AI Visibility scans, reporting, billing, and related workflows.
DigiKai OS is designed for agency business use. It may process information about agency users, prospects, customers, contacts, websites, email activity, AI scan inputs and outputs, usage activity, and billing events.

Information We Collect
We collect account and workspace information such as name, email address, agency name, role, workspace settings, team membership, sender configuration, and login activity.
We collect business and prospect information that users add, import, discover, enrich, or generate in DigiKai OS, including business names, websites, phone numbers, email addresses, locations, industries, pipeline status, notes, tasks, outreach history, proposal activity, audit results, and reports.
We collect billing and subscription information through our payment processor, including plan, checkout status, subscription status, invoices, coupon usage, and payment-related identifiers. We do not store full payment card numbers in DigiKai OS.
We collect technical and usage information such as device, browser, IP address, pages viewed, feature usage, error logs, API responses, and security events.

AI and Third-Party API Processing
DigiKai OS may send user-provided prompts, prospect context, website content, business information, AI Visibility queries, audit inputs, and related data to AI providers and third-party APIs to generate reports, recommendations, summaries, scripts, and analysis.
Third-party services may include AI providers, prospect discovery providers, search providers, email providers, payment processors, hosting providers, database providers, and analytics tools. Their handling of data is governed by their own terms and privacy practices.

How We Use Information
We use information to provide DigiKai OS, create and manage workspaces, authenticate users, process trials and subscriptions, run prospect discovery, send email through configured providers, track email and proposal activity, generate audits and reports, provide AI Coach responses, enforce plan limits, prevent abuse, improve the product, and provide support.
We may use aggregated or de-identified information to understand usage patterns, improve reliability, develop features, and measure platform performance.

How Information Is Shared
We share information with service providers only as needed to operate DigiKai OS, such as infrastructure, authentication, database, email, AI, search, payment, analytics, support, and security providers.
We may disclose information if required by law, to protect rights and safety, to investigate abuse, to enforce our policies, or as part of a business transaction such as a merger, acquisition, financing, or sale of assets.
We do not sell workspace data, prospect lists, outreach content, or AI reports.

Customer and Prospect Data
Agencies are responsible for the personal information and business contact data they upload, import, discover, or use in DigiKai OS. Agencies must ensure they have the required permissions, notices, and lawful bases for processing and contacting prospects.
If a prospect or customer contacts us about data controlled by an agency, we may direct that person to the agency workspace owner unless we are legally required to respond directly.

Retention and Deletion
We retain information for as long as needed to provide the service, comply with legal obligations, resolve disputes, enforce agreements, maintain security, and support legitimate business needs.
Workspace owners may request deletion or export assistance by contacting support. Some information may remain in backups, logs, billing records, security records, or audit trails for a limited period.

Security
We use administrative, technical, and organizational safeguards designed to protect information. No internet service can guarantee absolute security, and agencies are responsible for protecting their own credentials, team access, and connected provider accounts.

Your Choices
You may update workspace information, team access, sender settings, and many user details in DigiKai OS. You may also contact support to request help accessing, correcting, exporting, or deleting information where applicable.
You can control some browser cookies through your browser settings. Disabling cookies may affect login, security, analytics, or product functionality.
